A. About Asian Disaster Preparedness Center

ADPC is an autonomous international organization with a vision to reduce disaster and climate risk impacts on communities and countries in Asia and the Pacific by working with all key stakeholders. Established in 1986 as a technical capacity building center, ADPC has grown and expanded its role to be for scientific, educational, developmental and humanitarian purposes. ADPC employs a wide range of professional expertise typically required for Disaster Risk Reduction (DRR) and Climate Resilience (CR) in an effective manner.

ADPC develops and implements cross-sectoral projects/programs on the strategic themes of risk governance, urban resilience, climate resilience, health risk management, preparedness for response and resilient recovery. Our strategic themes are complemented and underpinned by the cross-cutting themes of gender and diversity, regional and transboundary cooperation as well as poverty and livelihoods.

Through its work, ADPC supports the implementation of the Sendai Framework for Disaster Risk Reduction 2015–2030, the Sustainable Development Goals (SDGs), the New Urban Agenda, the United Nations Framework Convention on Climate Change, the agenda defined at the World Humanitarian Summit in 2016, and other relevant international frameworks.

B. Department Introduction

Effective reduction of disaster risks can only be attained through an all-of-society approach. Whilst governments remain responsible for integrating disaster risk reduction in core social, economic and development planning, this also requires a change of behavior across all sectors and levels. With this goal in mind, ADPC engages with a variety of stakeholders, through different mechanisms, to involve all parts of society in disaster risk reduction for a more resilient future. 

The Strategic Planning (STP) is one of the ADPC’s Department that supports strengthening the external engagements with ADPC stakeholders including government and non-government agencies. In addition to the three core work units (i.e., Communication, M&E and IT, the Partnership and Stakeholder Engagement Unit (PSEU) accelerates stronger engagement of stakeholders in policy and practice decisions and implementation on disaster risk reduction.

C. Statement of Intent

The Partnership and Stakeholder Engagement (PSE) Coordinator hosted in the STP Department will support the Office of Executive Director (OED) and the Thematic Departments in developing and executing ADPC stakeholder engagement plans, business opportunity strategies and partnership development

D. Required Qualifications

Education:

  • Bachelor’s Degree in public administration, Business and/or Hospitality Management.

Work Experience:

  • Minimum 4 years of professional experience, preferably in partnership development and stakeholder engagement; one of which preferably be with an international organization.
  • Demonstrated experience in market development research, documentation, presentation using latest technology and tools
  • Expertise in organizing and managing meetings, consultations, and other events, in the private and public sphere is required.
  • Experience in engaging a variety of stakeholders including government and non- government agencies is required
  • Experience in undertaking strategic analysis and preparing reports is desirable.
  • Experience in undertaking project reviews and identifying lessons learnt is desirable.
  • Experience in conducting business opportunity, proposal development, management and evaluation, partnership development or a related area is desirable.

Language:

  • Fluency in English is required.

Computer Literacy:

  • Advanced computing skills as well as in-depth knowledge of IT tools are required. Knowledge of social media and outreach is desirable.
  • Excellent expertise on Email Management, Information Management, Data Entry, Digital Calendars (Google, Outlook, etc.), File Sharing Programs (Dropbox, Google Drive, etc.), Workplace Chat (Microsoft Teams, Zoom etc.)  and Video Conferencing are required

Personal Qualities and Competencies:

  • Self-motivated, proactive, and takes initiative.
  • Self-directed, dynamic, pays attention to details, independent with excellent organizational skills.
  • Demonstrated ability to plan and organize work and time independently.
  • Ability to coordinate, motivate, and lead diverse teams to accomplish complex goals.
  • Excellent interpersonal skills, team-oriented work style, and experience in working in a multi- cultural environment.
  • Strong desire to learn, undertake new challenges, must be a creative problem-solver, must have self- confidence, willingness to work hard.

Willingness and availability to travel periodically.

E. Duties and Responsibilities:

Reporting to Director, STP and under the day-to-day supervision to the Manager of the Partnerships and Stakeholder Engagement Unit, the PSE Coordinator will be required to perform the following tasks: 

  1. Opportunity Tracking: Track compile and directly share with ExCom members relevant business opportunities (not limited to advertised calls for proposals). Report to OED on regular interval on action taken on such opportunities.
  2. Stakeholder Engagement: Assist in updating ADPC stakeholders and regular engagement with them to increase ADPC’s visibility and market value. Coordinate in supporting cross-sectoral and transdisciplinary collaboration with stakeholders in achieving 2030 ADPC Strategy
  3. Corporate Data Management: Coordinate with relevant Departments and lead in updating the iEX with ADPC program and non-program information. Prepare advocacy and communication initiatives, including bringing case studies, lessons learned and expertise from the ground to the attention of ADPC’s global and regional policy processes.

OED Support: ADPC’s corporate communications including reporting to governance, development partners and media. Support the approval processes and ADPC’s key activity calendar.

The PSE Coordinator will report to the Director of STP
