Duties and responsibilities


The objective of the UNWTO Risk and Crisis Programme is to assist members to assess and mitigate risks related to tourism. Furthermore, to develop, plan and implement crisis systems that will reduce the impact of and assist in the recovery from crises. The programme and projects are guided by the relevant provision in the Global Code of Ethics for Tourism.

Under the direct supervision of the Programme Coordinator / Risk and Crisis Management, the incumbent will carry out the following tasks:

• Organize data and information, prepare and maintain speeches, reports, presentations and documents for reference, seminars/workshops, meetings or conferences;
• Assist in the smooth organization and execution of meetings ensuring that the mass mailings of invitations, the preparation of meeting documents and the finalizing of the list of participants is prepared on a timely basis;
• During meetings, coordinate logistics; take notes and draft minutes; follow up on meetings and seminars, as requested;
• Draft specialized and routine correspondence related to the Programme Coordinator’s work and type a variety of material such as correspondence and reports;
• Screen requests for appointments with the Programme Coordinator according to the nature of the request and urgency of the matter and make tentative commitments; confirm mutually convenient schedules and rearrange schedules as necessary; brief the Programme Coordinator on matters to be considered before the scheduled meetings; when required, prepare reports of the proceedings;
• Welcome visitors from Members to the Organization’s headquarters, includes providing them with documents and data, as requested, as well as scheduling meetings and other events, as agreed by the Programme Coordinator;
• Independently provide full range of programme management and implementation assistance at all levels for the various activities of the programme, seeking guidance only in exceptional circumstances;
• Research, compile, analyse, summarize and present basic information/data on a wide range of topics and the activities of the programme, highlighting noteworthy issues for consideration;
• Process and examine technical information and data in accordance with instructions received, make necessary comparisons, abstracts, and computations;
• Other related tasks as may be assigned.

Requirements

Languages

• Proficiency level in English and Spanish or French. Good working knowledge of a third official language of the Organization would be an asset.

Education

• Completion of secondary education, preferably supplemented by technical or university courses in fields such as international relations, project administration, etc.

Experience and basic competencies


• At least five years of progressively responsible technical or administrative work, of which at least one year is closely related to support of activities at G.5 level.

Computer skills

• Fully familiar with the MS Office package including ability to effectively use word-processing software and other office technology equipment.

Other competencies


• Good writing skills to draft a variety of documents and correspondence in the required languages indicated above.
• Ability to work under pressure and on tight deadlines and demonstrated organizational skills.
• Demonstrated ability to work in a multicultural, multiethnic environment with sensitivity and respect for diversity.
• Ability to work independently within assigned areas, showing initiative and judgment.
• Sense of responsibility, tact and discretion.
